Comprehensive security solution deployed in its transportation system to ensure doorstep-to-doorstep security for associates

Tuesday, December 05, 2006:  With the shift in work culture to round the clock presence in workplace, employee security has emerged as a key concern for most organisations. In fact, few BPO organisations have suffered brand loss and reputation due to staff security related incidents. Taking this as a serious business issue, Chennai-based Perot Systems BPS India decided to create a secure environment for its employees from the moment they enter the vans to go to their office till they are dropped back home. The company, as part of its comprehensive security strategy, has implemented associate security and fleet management system.
Talking about the set up Vardhman Jain, MD, Perot Systems BPS India says, “Chennai as a city is conservative and the parents of the associates here have often expressed their concern about their children travelling late in the night. Ensuring physical security of our associates is a key focus area. In fact when we decided to get the ISO 27001 certification for security standards, associates security was highlighted as a key objective for the same. So we decided to implement a people security policy. We implemented an innovative doorstep-to-doorstep security system that ensured that our associates can travel late at night without feeling apprehensive.”

The company has automated its security set up at all the four levels. It is now ISO 27001 compliant for security. “We pride ourselves on having the best practices on security implementation. We have taken a comprehensive view of people security and realised that we needed to control the fleet of transport. We realised that the same standards need to apply in case of people security as in the case of any other security domain. Also we wanted the associates and their family to feel comfortable about working with us,” avers Jain.

The company integrated five technologies to develop the fleet management and security system. It partnered with Kolkata-based security solution provider Autopay Solutions, who integrated GPS, GIS and GSM devices in the vans and the control unit at Perot’s premises. “We built monitoring and data reporting applications on top of the systems to track the vans and the people travelling. We also gained remote control of the fleets through these applications,” adds Jain.

The GPS system keeps track of the location co-ordinates of the vans, which is combined with GSM to get data on speed. The GIS system constantly plots the location of the van travelling through the city. The Proximity Card Technology monitors remote attendance and count of associates on board. Using the voice and SMS communication through GSM, the control unit tracks vehicles, panic reports and immobilises vehicles. The Vehicle Immobiliser technology stops the car automatically based on a panic report received. Finally Data Reporting solutions aids the company checking the kilometrearge travelled, fuel consumed and various MIS reports and reporting to other internal applications for further analysis and financial control. The company has installed the security gadgets in each of its 75 vans. The associates have been given access cards, which they need to swipe when they enter the van.

“By implementing the remote attendance system, at every point we know who is driving the van, who are travelling, how many female associates are there, location of pickups and drops and shift-wise report on drivers and associates. Each van has 4 tamper proof panic buttons, which if pressed notifies the control unit and the van can be immobilised remotely in case of emergency,” informs Jain.

He explains that the company does additional check on the background of each van driver including police verification. Each transport contractor is given a mandate and certain specifications that they need to comply to in order to qualify. The company currently has tied up with four transport-service providers on long-term contracts. “We also have a rule that female employees cannot be picked up first or dropped last. The driver has to show his ID card if anybody travelling in the van demands so,” he says.

Perot Systems BPSI set up this employee security system about four months ago, and the rave reviews it has got from its employees justified the investments incurred. According to Jain, this is a way the industry can improve the business climate within a community. Once the families of the employees and the employees themselves feel secure within their work environment, the performance level improves. “In fact since the implementation we can say that our popularity as a BPO employer has increased within the city,” stresses Jain.
